Merchant terms

For sellers and merchants listing on The Index Registry. These sit alongside the main terms.

1. Restriction, suspension, and termination

We can restrict, suspend, or terminate a merchant account or individual listings on these grounds: failed or lapsed identity/licence verification (including wine licence verification and, where applicable, hallmarking, investment-gold, or wildlife-material requirements); listings or conduct that breach these terms, the law, or a category rulebook; a possible match on the UK Sanctions List (which blocks enablement until resolved); suspected fraud or review abuse pending investigation; and non-payment of platform fees.

Except where we are legally required to act immediately (for example a sanctions match or illegal content), we tell you the ground we are acting on when we act, and you can challenge any decision through the complaints route below. Suspension decisions are made by a human, not automatically.

2. How ranking works

The parameters that determine how listings are ordered, completely:

  • Default order: most recently listed first.
  • User-selected sorts: asking price (lowest first, or highest first).
  • User-applied filters: category, free-text search, price range.
  • Never an input: referral offers, affiliate or commission economics, seller fees paid, or any payment by a seller — these cannot change where a listing ranks organically.

Referral or affiliate economics never silently alter organic ranking. If we ever introduce commercially-influenced placement, it will be clearly and separately labelled as such (for example "Sponsored") and will not change where any listing ranks organically. This rule is enforced in our codebase by automated tests, not just stated here.

3. Data access

You can see: your own listings and their verification state, offers made on your assets and the buyer identity attached to an accepted offer, ratings left on your completed transactions, and your fee account. Buyers see your disclosed seller identity before checkout. We see the data you and buyers submit, and use it to run verification, eligibility, attribution, and fraud controls. We do not sell merchant data, and we do not give one merchant access to another merchant's non-public data. Referral attribution data (who shared a listing) is visible to us and the referrer, not to you, beyond what a reward disclosure requires.

4. Prices you supply

We display the price you supply, accurately and unmodified. Where shipping, taxes, or duties are unknown at display time, we state alongside your price: "Shipping, taxes, and any import duties may apply and are not included. The final amount is confirmed by the merchant at their checkout." We never label a number a total price unless it is one, and you must not supply prices that hide mandatory charges.

5. Complaints and redress

To challenge a restriction, suspension, termination, ranking, or data-access decision, use the complaints route. A human reviews every merchant complaint; we aim to respond within 14 days, and we record the outcome. Nothing in these terms limits any statutory right or remedy you have.
